PlayPals provides preschool administration tools for learner records, classes, staff, attendance, invoices, payments, receipts, progress reports, exports and related functions. Features may change during the pilot as feedback is incorporated.

The school principal or authorised representative is responsible for the school workspace, user invitations, assigned roles and information entered into PlayPals. Accounts may not be shared. Users must provide accurate information and protect their sign-in credentials and devices.

Each eligible school receives a three-month trial. Thereafter, manual monthly renewal is R99 for up to 200 active learners and R149 for more than 200 active learners, unless a different written offer applies. Pricing is selected from active learner counts. Paystack processes platform subscription payments.

If trial or paid access expires, operational modules may be locked until renewal. School records are not automatically deleted when access is locked.

• Obtain a lawful basis and provide notices for learner, parent and staff information.
• Keep user access, school details, term dates and financial records accurate.
• Review learner reports before publication and payment submissions before approval.
• Protect exports, PDFs, private documents and secure parent links.
• Use PlayPals lawfully and in the best interests of children.
• Maintain any records required outside PlayPals by education, labour, tax or other laws.

• Accessing another school’s or person’s information without authority.
• Uploading malware, unlawful content or information not needed for school administration.
• Attempting to bypass access controls, disrupt the service or reverse engineer security.
• Using learner information for unrelated advertising, profiling or discriminatory purposes.
• Misrepresenting reports, attendance, payments or receipts.

PlayPals records information supplied by schools, parents and payment providers. Schools remain responsible for verifying proof of payment, bank settlement, fees, refunds and accounting treatment. PlayPals is not an accounting, tax, payroll or financial-advice service.

Templates support Grade 00 developmental reporting and Grade R reporting informed by CAPS principles. Schools and qualified practitioners remain responsible for assessment, professional judgement, local education requirements and final approval. PlayPals does not diagnose children or replace professional educational advice.

PlayPals aims to provide a reliable service but maintenance, provider outages and internet conditions may cause interruptions. Schools should maintain appropriate contingency procedures for critical attendance, safeguarding and payment activities.

Access may be limited for non-payment, security risks, unlawful use or serious policy breaches. A school may request account closure and data export, subject to identity verification, legal retention duties and reasonable technical procedures.

PlayPals will not exclude liability that cannot lawfully be excluded. To the extent permitted by South African law, each party is responsible for losses caused by its own unlawful acts, negligence, inaccurate information or breach of these terms. These terms are governed by South African law.
